Acceptable Use Policy

MediPlace: Clinical Space Marketplace

1. Purpose

This Acceptable Use Policy ("AUP") sets out the rules for using MediPlace (mediplace.ca). It applies to all users, including clinic owners and healthcare practitioners. This policy is part of and supplements our Terms of Service. Capitalized terms not defined here have the meanings given in the Terms of Service.

MediPlace exists to connect clinic owners who have available rooms with healthcare practitioners who need space. Everything in this policy serves that purpose: keeping the platform professional, accurate, and useful for the Canadian healthcare community.

2. Listing Standards

Clinic owners are responsible for the accuracy and quality of their listings. Every listing on MediPlace must meet the following standards:

2.1 Accuracy

  • All listing information must be accurate, current, and not misleading.
  • Room type, amenities, equipment, and availability must reflect the actual space being offered.
  • Pricing must be accurate and clearly stated. If additional fees apply (e.g., cleaning fees, shared supply costs), they must be disclosed in the listing.
  • If a space becomes unavailable, the listing must be updated or unpublished promptly.

2.2 Photos

  • All photos must be genuine representations of the actual space being offered.
  • Stock photos, AI-generated images, or photos of other spaces are not permitted.
  • Photos must not contain watermarks, promotional overlays, or embedded contact information intended to bypass the inquiry system.
  • Photos must not include identifiable patients, clients, or other individuals without their consent.

2.3 One Room, One Listing

Each listing must describe a single, specific room or space. A clinic with multiple available rooms must create a separate listing for each room. Bundling multiple rooms into a single listing is not permitted, as it undermines the search and comparison experience for practitioners.

2.4 Healthcare Spaces Only

MediPlace is exclusively for healthcare-related clinical spaces. Listings for the following are not permitted:

  • Residential spaces, apartments, or home offices (unless specifically designed and permitted for clinical use under applicable zoning and professional regulations)
  • Retail or commercial spaces not configured for healthcare delivery
  • Co-working spaces, shared offices, or meeting rooms not designed for clinical use
  • Virtual office addresses or mail-drop locations

3. Communication Standards

All communications initiated through MediPlace — including inquiry messages — must meet the following standards:

3.1 Professional Conduct

  • Communications must be professional, relevant to clinical space sharing, and respectful.
  • Users must not send abusive, threatening, harassing, or discriminatory messages.
  • Users must not use the platform to make unwanted personal, romantic, or sexual advances.

3.2 No Spam or Unsolicited Marketing

  • The inquiry system is for genuine inquiries about listed spaces. It must not be used to send bulk messages, advertise services, solicit business, or distribute marketing materials.
  • Sending identical or substantially similar messages to multiple clinic owners without genuine interest in their specific spaces is considered spam.

3.3 No Circumvention

Users must not attempt to circumvent the MediPlace inquiry system by embedding personal contact information in listing descriptions, titles, or photos for the purpose of directing communication outside the platform before an inquiry is made. This does not apply to the structured clinic contact fields (clinic email and phone number), which are displayed on listings by design.

4. Account Integrity

4.1 One Account Per Person

Each individual may maintain only one MediPlace account. Creating multiple accounts for any purpose — including circumventing platform rules, subscription limits, or enforcement actions — is prohibited.

4.2 Accurate Information

All account information must be accurate and kept up to date. Users must not:

  • Provide false or misleading information when creating an account
  • Impersonate another person, business, or entity
  • Use a business name, clinic name, or professional title that is misleading or that you are not authorized to use
  • Create accounts using disposable or temporary email addresses

4.3 Account Security

Users are responsible for the security of their account credentials and must not share login information with others. If you suspect unauthorized access to your account, contact us immediately at [email protected].

5. Prohibited Content and Conduct

The following content and conduct are prohibited on MediPlace:

5.1 Discrimination

Listings and communications must not include discriminatory language, conditions, or restrictions based on race, ethnicity, national origin, religion, gender, sexual orientation, gender identity, disability, age, marital status, family status, or any other ground protected under the Canadian Human Rights Act, the Québec Charter of Human Rights and Freedoms, or applicable provincial human rights legislation.

5.2 Illegal Activity

  • Listings must not offer spaces for activities that are illegal under Canadian federal or provincial law.
  • Users must not use the platform to facilitate fraud, money laundering, or any other criminal activity.
  • Users must not post content that infringes on any third party's intellectual property rights, including copyrighted images or trademarked names.

5.3 Misleading Conduct

  • Fake or inflated reviews, testimonials, or endorsements (if review features are added in the future)
  • Manipulating search rankings or platform features through deceptive means
  • Creating listings for spaces you do not have the legal right to offer
  • Misrepresenting professional credentials, licenses, or affiliations

5.4 Technical Abuse

  • Using automated tools (bots, scrapers, crawlers) to access or collect data from MediPlace without prior written consent
  • Attempting to gain unauthorized access to any part of the platform, other user accounts, or connected systems
  • Interfering with or disrupting the platform's operation, servers, or networks
  • Circumventing or attempting to circumvent access controls, rate limits, or security measures
  • Uploading malicious code, viruses, or other harmful content

5.5 Non-Healthcare Content

MediPlace is a healthcare-focused platform. Content that is unrelated to clinical space sharing is not permitted, including but not limited to:

  • Advertisements for products or services unrelated to healthcare space
  • Political, religious, or ideological content
  • Personal content unrelated to professional healthcare practice

6. Enforcement

We take violations of this policy seriously and enforce it through a graduated approach. The severity and pattern of violations determine the response.

6.1 Enforcement Actions

Depending on the nature and severity of the violation, we may take one or more of the following actions:

6.2 Enforcement Principles

  • We aim to be fair and proportionate. Minor, first-time violations will typically receive a warning and an opportunity to correct the issue before further action is taken.
  • Severe violations (discrimination, fraud, illegal activity, harassment) may result in immediate account suspension or termination without prior warning.
  • We will notify you of any enforcement action and the reason for it, except where doing so would compromise platform security or an ongoing investigation.
  • Enforcement decisions are made at our discretion. We are not required to provide advance notice or an appeals process, but we will consider good-faith requests for review.

6.3 Effect on Subscriptions

If your account is suspended, your subscription continues and you remain responsible for payment. If your account is terminated for a policy violation, no refund is issued for the current billing period. We will not charge you for subsequent billing periods after termination.

7. Reporting Violations

If you believe a listing, message, or user violates this Acceptable Use Policy, please report it to us:

When reporting a violation, please include:

  • The listing URL or the name/email of the user in question
  • A description of the violation
  • Any supporting evidence (screenshots, messages, etc.)

We review all reports and will take appropriate action. We may not be able to share the outcome of our review with the reporter due to privacy obligations, but we take every report seriously.

8. Changes to This Policy

We may update this Acceptable Use Policy from time to time. When we make changes, we will update the "Last updated" date at the top of this policy and post the updated policy on mediplace.ca. Material changes will be communicated to registered users by email.
